Miagi Solution ("Miagi", "we", "us") respects your privacy. This policy explains what personal data we process when you visit miagi-so.com or contact us, why we process it, and what rights you have.

This policy is based on Vietnam's Law on Personal Data Protection No. 91/2025/QH15 and its implementing regulations. For customers and partners in Japan, we also comply with Japan's Act on the Protection of Personal Information (APPI).

2. Data we collect

This website has no sign-up forms, user accounts or comments, and uses no third-party analytics or advertising tools. We only process the following:

a. Data you give us when you email, call or talk to us: your name, email address, phone number, company, job title and the content of your message.

b. Technical data logged automatically by our server when you visit: IP address, browser and device type, pages viewed, time of visit and referring page. We use it only to run, secure and troubleshoot the website.

c. A language cookie, described in section 5.

We do not knowingly collect sensitive personal data (such as health, religion, biometric or financial data) and ask that you do not send it to us. The website is not directed at children under 16.

3. Why we use your data

We use personal data only to:

  • Answer your questions, advise you and send quotations you request;
  • Negotiate, sign and perform contracts with you or your company;
  • Operate and secure the website and prevent unauthorised access;
  • Meet our legal obligations.

We do not sell personal data, and we do not use it for marketing without your separate consent.

4. Legal basis

We process personal data on the basis of:

  • Your consent, when you contact us and provide information so we can reply. You can withdraw it at any time (section 9);
  • Performance of a contract, when the data is needed to enter into or carry out a contract;
  • Legal obligations, when the law requires us to keep or disclose data;
  • Other cases where the law permits processing without consent.

5. Cookies

The website uses one essential cookie:

It contains no personally identifying data and is not used for tracking. You can delete or block cookies in your browser settings; the site will still work and will pick a language from your browser settings instead.

6. Sharing

We share personal data only with:

  • Miagi's offices in Ho Chi Minh City and Tokyo, where needed to handle your request;
  • Service providers that support us (server hosting, email), only to the extent necessary and under written confidentiality agreements;
  • Competent authorities, when required by law.

7. International transfers

Because Miagi has an office in Japan, data related to your request may be transferred from Vietnam to Japan. When this happens, we prepare and keep a cross-border transfer impact assessment as required by law, and make sure the data is protected to a standard equivalent to this policy.

8. Retention

  • Correspondence and contact details: up to 24 months after our last exchange, unless a contract follows;
  • Contract-related data: for the term of the contract and the retention periods required by accounting and tax law;
  • Server logs: up to 90 days.

After that, data is deleted or irreversibly anonymised.

9. Your rights

Under data protection law, you have the right to:

  • Be informed about the processing of your personal data;
  • Give or refuse consent, and withdraw it;
  • Access and correct your data, or ask us to correct it;
  • Ask us to provide, delete or restrict the processing of your data;
  • Object to processing;
  • Complain, report, take legal action and claim compensation as provided by law.

To exercise these rights, email info@miagi-so.com with the subject "Personal data request". We may ask you to verify your identity and will respond within the time limits set by law. Withdrawing consent does not affect the lawfulness of processing carried out before the withdrawal.

10. Security

We apply appropriate technical and organisational measures to protect your data, including HTTPS encryption, need-to-know access control and confidentiality commitments from our staff. If a personal data breach occurs, we will notify the competent data protection authority and affected individuals within the time limits set by law.

11. Users in Japan

Personal data received by our Tokyo office is handled in accordance with the APPI. You may request disclosure, correction, suspension of use or deletion of retained personal data by contacting us at the email address in section 13.

12. External links

The website links to our product sites and to third-party sites. This policy does not apply to them; please read each site's own privacy policy.

13. Changes and contact

We may update this policy when our practices or the law change. The date of the latest update is shown at the top of this page, and significant changes will be clearly announced on the website.
